Send for Approval is operated by BustBrain Labs, Corp. (“we,” “us,” or “our”). We provide a website at https://www.sendforapproval.com and approval products that help teams send documents and designs for sequential review (together, the “Services”). This Privacy Policy describes our practices for information we collect when you visit the website or use the Services.
Our current products include Document Approval for Google DocsTM and Design Approval for Canva. This policy reflects how the Services currently work. It is not legal advice. If you have questions, contact us at support@sendforapproval.com.
What the Services Do
Send for Approval lets a requester create an approval workflow from Google Docs or Canva, add one or more approvers (in sequence), optionally include a message, and send the work for review. When a request is created or updated, we generate a PDF snapshot of the submitted version. Approvers receive an email with a secure review link. They can open the snapshot in a browser, approve it, or request changes with feedback—no product account is required for reviewers. Requesters can track progress from the Google Docs add-on or Canva app.
Information We Collect
Depending on how you use the Services, we may collect:
- Account and identity information such as email address and basic profile details when you authorize the Google Docs add-on, or a stable Canva user identifier (and related workspace/brand context) when you use the Canva app. For Canva, email may be collected separately if needed to operate the Service.
- Document or design context needed to create an approval request, such as Google document identifiers, titles, and URLs, or Canva design identifiers, titles, and URLs.
- Approval request details such as approver email addresses, optional messages, approver order, and request status.
- Document or design snapshots (PDF files and related metadata) generated when content is sent or resubmitted for approval.
- Approval responses such as approve or request-changes actions, optional reviewer comments, and timestamps.
- Usage and operational information related to creating requests, sending notifications, serving review links, and tracking approval progress.
- Support messages if you contact us by email.
- Technical information that web servers and browsers typically provide when you visit the website or review pages, such as IP address, browser type, device information, and pages visited.
Why We Collect Information
We use collected information to:
- Provide, operate, and improve the website and Services
- Authenticate requesters and associate approval requests with the correct account or Canva user
- Create approval requests, generate snapshots, and deliver review links
- Notify approvers by email and record their approve or request-changes decisions
- Show approval progress to the requester
- Maintain security, prevent abuse, and troubleshoot issues
- Respond to support requests
- Comply with legal obligations where applicable
How We Use Information
Account and identity details help us identify the person creating or managing an approval request. Document or design context and PDF snapshots help us present the exact submitted version for review. Approver contact details and responses help us route notifications and record decisions. Reviewers access content through a secure link; they do not receive editing access to the original Google Doc or Canva design through the approval page.
We do not sell your personal information. We do not use information received from Google APIs to serve personalized advertising. We do not share user data with third parties for advertising purposes.
Google API Services User Data Policy
Where the Services use Google APIs (including for Document Approval for Google DocsTM), our use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Canva
Where the Services use Canva’s platform and APIs (including for Design Approval for Canva), we process Canva-related identity and design information only as needed to operate approval workflows, create snapshots, notify approvers, and show status in the Canva app. Your use of Canva remains subject to Canva’s own terms and privacy policy.
Storage and Security
We store information using service providers and infrastructure appropriate for operating web applications, add-ons/apps, email delivery, and snapshot file storage. We take reasonable administrative and technical measures to protect information against unauthorized access, alteration, disclosure, or destruction. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Sharing and Disclosure
We may share information in limited circumstances, such as:
- With service providers who help us host, store snapshots, send email, operate, or support the Services, under obligations to protect the information
- With people who receive an approval review link or notification you create (for example, approvers you add to a request)
- If required by law, regulation, legal process, or governmental request
- To protect the rights, safety, and integrity of the Services, our users, or the public
- In connection with a merger, acquisition, financing, or sale of assets, subject to appropriate safeguards
Retention
We retain information for as long as reasonably necessary to provide the Services, maintain approval requests and review links, understand usage, keep the product secure, and meet legal or operational requirements. Retention periods may vary by data type. When information is no longer needed, we aim to delete or de-identify it.
Your Choices
- You can stop using a product at any time, including by uninstalling the Google Docs add-on or removing/disabling the Canva app where available.
- Where applicable, you can revoke a product’s access through your Google Account or Canva account permissions.
- You can contact us to ask questions about the information we hold or to request deletion where applicable.
- Browser and device settings may also allow you to manage cookies and similar controls on the website.
Children’s Privacy
The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us and we will take appropriate steps to delete it.
Third-Party Platforms
The Services work with third-party platforms such as Google Docs / Google Workspace and Canva. Those platforms are independent and have their own terms and privacy policies. Send for Approval and BustBrain Labs, Corp. are not affiliated with, endorsed by, or sponsored by Google or Canva.
International Users
If you access the Services from outside the country where our systems or service providers operate, your information may be processed in other jurisdictions that may have different data-protection rules than your home country.
Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above. Continued use of the website or Services after changes become effective constitutes acceptance of the updated policy where permitted by law.
